AV Pricing in Los Angeles

Transparent AV pricing for corporate event planners in Los Angeles. We bill day rate, not project rate. The same math on every quote. You can audit it. Most AV companies hide pricing because it gives them room to mark up. We publish ours because we don’t need that room.

How we bill

Here’s how AV pricing in Los Angeles works at ProCore: day rate × billable days. Crew billed at published rates by role. Sub-rentals at cost or with a disclosed markup. No bundled “project fees,” no “logistics surcharges.” Every line on your quote is something specific.

Multi-day events get fewer billable days

Once the gear is on-site, you shouldn’t pay daily for it to sit there. Standard mapping:

Calendar daysBillable rates
1 day1×
2 days1.5×
3 days2×
1 week2.5×–3× (scales with event size)

Bigger orders = fewer billable days. The math is on every quote.

Overtime and double time

  • W-2 employees: overtime after 8 hrs/day, double time after 12 hrs/day.
  • 1099 contractors (business entities): overtime after 10 hrs/day, no double time.

Both follow California labor law. Both are printed on the quote.

Our load-in commitment

Every show, every service tier — our crew is on-site early enough to complete a full systems check before doors open. The hours required are scoped to your event and printed on your quote. No “we’ll figure it out when we get there.”

Service tiers

Tiers scale by event size and operational complexity, not by premium-ness.

Any tier is available for any event. You pick how much of the work you want us doing.

Tier 1 — Set & Strike

Setup, systems check, strike. Your team operates the show.

  • Load-in, systems check, strike
  • Gear ownership during the show stays with us
  • Your in-house tech runs the program

Best for: events where your team can run the room

Tier 2 — Show-Day Production

Set & Strike PLUS our techs operate the show.

  • Everything in Tier 1
  • ProCore crew operates throughout the program
  • Cue calling and signal management handled

Best for: complexity outpacing in-house capability

Tier 3 — Designed Production

Full pre-pro: 3D renders, technical direction, custom ROS.

  • Everything in Tier 2
  • 3D renders of the room layout
  • Technical direction
  • Custom run-of-show by ProCore
  • Dedicated show caller
  • Dedicated tech per discipline

Best for: galas, keynotes, brand launches

Pre-production beyond standard scope (extensive 3D renders with multiple revisions, ROS authored from scratch for complex programs) and post-production work (video editing, recap reels) are billed as separate line items. You’ll see them on the quote.

Crew rates

Crew is one of the biggest variables in AV pricing in Los Angeles, and most shops won’t show you the math. We do. Hourly rates published in advance. Same rates on every quote. We charge $15 over what we pay our crew — that’s how payroll, taxes, and admin get covered. That’s it. No padding.

Why our crew rates land lower than most premium LA shops: we don’t pad. Markup is the small fixed amount above. The crew is being paid; we add what handles the back-office work.

What changes your number

The variables you should expect on a real quote:

  • Event length in calendar days and billable days (the multi-day ladder above)
  • Audience size and venue scale
  • LED wall size, pixel pitch, and processing complexity
  • Crew count and roles required
  • Sub-rentals if specialty gear is needed (we don’t own everything; what we don’t, we pull at cost + disclosed markup)
  • Distance from LA for travel (truck miles, crew per diem, hotel, time on the road)
  • Specialty production needs: LED ground stack, projection mapping, hybrid streaming, multi-language interpretation, etc.
  • Service tier (Set & Strike, Show-Day Production, or Designed Production)
  • Additional pre- and post-production (extra renders, ROS authoring, video editing)

How to get a real quote

Want real AV pricing for your event in Los Angeles? The best place to start, if you’re 30+ days out, is a Show Reality Check — a free 30-minute call where you walk us through your event and we identify the 3 things most likely to go wrong, plus what to do about each.

No pitch on the call. No catch. If you don’t leave with three useful things, you don’t leave with anything wasted either. See how we work for the full process.

Day rates and crew rates change over time. The numbers above were last verified May 14, 2026. Final quote always governs.
